Pay Range

The pay range for this role is $24.04-$33.65 per hour. Compensation is based on your unique qualifications and experience.

Job Summary

Supports the Project Management Team throughout the entire life cycle of the project, from bid to completion.

Under the direction of the Project Manager/ Assistant Project Manager, the Project Coordinator is responsible for organizing and coordinating project activities, assists in planning, scheduling, controlling, and monitoring multiple projects, including monitoring, and updating project scope, safety, timeline, budget, information management and quality requirements. The Project Coordinator assists in managing prime and subcontract change events, project submittals, and assists in processes and associated software platform administration. The Project Coordinator works collaboratively with personnel as assigned by the Project Management Team.



Responsibilities and Duties

Information Management

  • Daily collaboration with each assigned project's Project Manager/Assistant Project Manager, other Project Coordinator(s) and Superintendent/Assistant Superintendent.
  • Proactively and systematically moves the submittal process forward independent of other specific task assignments from the Project Manager. Drafts, submits, and updates submittals on Procore. Reviews resubmittals for compliance with the previous engineer's review.
  • Follow all safety policies and procedures and complete all company safety training.
  • Maintains databases related to vendor information, submittals, drawings, O&M Manuals, and other documents.
  • Proactively and systematically follows up with vendors on a regular basis to either verify the schedule is being met or to identify delays as early as possible. Provides regular schedule updates to Project Manager/Assistant Project Manager.
  • Communicates with project partners to obtain clarification and other necessary information through Requests for Information (RFI). Maintains an accurate RFI Log.
  • Prepares reports and correspondence as directed.
  • Assists entire project team with document control, meeting minutes and filing all associated documentation.
  • Verifies that entire staff and all partners have access to up-to-date contract documents, vendor submittals, and contact information.
  • Maintains a submittal log of the procurement status of all materials.
  • Under Project Manager's supervision, may provide clarification on contract documents and specifications.
  • Reviews, organizes, maintains, and processes contract documents and shop drawings.
  • Assess project risks and issues and provide solutions where applicable.
  • Track project phase completion against milestones.
  • Collects and collates all data required for a complete Operations & Maintenance Manual.
  • Provides additional support to Project Managers.
  • Performs other related duties and responsibilities.
  • Performs project specific administrative assistant tasks, as assigned.

Cost Management

  • Compiles, organizes, and communicates bid packages to subcontractors. Drafts template letters of commitment and customized contract language. Compiles a list of all estimated project commitments tied to potential vendors.
  • Coordinates with the Job Cost Manager and Accounts Payable to enhance vendor compliance.
  • Maintains a Change Event log.
  • Compile and issue potential change orders through Procore which are initiated and prepared by the Project Management Team.
  • Update & maintain project cost management modules located within Procore.

Skills and Abilities

  • Exceptionally detail oriented, organized, and focused on quality presentation
  • Highly proficient in Microsoft, Adobe/Bluebeam applications
  • Comfortable learning new software applications quickly and with little direct supervision
  • Ability to research and comprehend the details of contract documents and drawings
  • Possess strong desire to keep IT-related skill set relevant and useful
  • Ability to prioritize to meet deadlines, anticipate issues and avoid bottlenecks
  • Excellent time management and communication skills



Required Experience and Education

  • High school diploma/GED required.
  • 3+ years of experience in general administration duties
  • Previous experience related to construction industry



Preferred Experience and Education

  • Previous management experience in any industry.



Physical Requirements

  • Must be able to work in an indoor office environment and an active outdoor construction site environment.
  • Must be able to ascend and descend ladders, stairs, and work in confined spaces and in proximity to loud equipment.
  • Must be able to traverse irregular and steep terrain.
  • Must be able to work in various weather conditions and be exposed to dirt or dust.
  • Must be able to wear required personal protective equipment most of the day.
  • Must be able to lift and carry 25lbs regularly and 50lbs occasionally.
  • Must be able to work for long periods of time in front of a computer or while standing.
